Updating your email inbox settings

You can rename an email inbox, update its server details and password, change who can see it, transfer its ownership, and set how long replies are held before they send.
Open your inbox settings
- Click Administration on the left navigation bar.
- Click Integrations, then Email (IMAP+SMTP).
- Find the inbox you want to change under settings tab and choose Edit.
What you can change
- Inbox Name: the name your team sees in the Inbox.
- Server and Port: your incoming (IMAP) and outgoing (SMTP) server addresses and ports.
- Password: update this when you change your mailbox password or rotate an app password.
- Encryption: the SSL/TLS setting for each server.
- Visibility: who can see this inbox and its conversations.
- Owner: which member owns the inbox.
- Undo Send window (seconds): how long replies are held before sending.
What you cannot change
The email address itself is read-only. The address is what identifies the inbox, so it cannot be edited here.
To move to a different address, either use Reconnect, or connect the new address as a separate inbox and disconnect the old one. See Connecting multiple email inboxes.

Change who can see the inbox
Pick one of four options:
Note: access is controlled at the inbox level. Setting access on an individual conversation is coming in a future release.
- Private: only you can see this inbox and its conversations.
- All members: all property members can see this inbox and reply to its conversations. Only the inbox owner can change a conversation's access.
- Departments: members of the selected departments can access this inbox.
- Selected members: only the members you choose can access this inbox.

Transfer ownership
Every inbox has an owner. You can transfer ownership to another member from the inbox's settings, useful when someone changes role or leaves the team.
The undo send window
Undo Send window (seconds) controls how long a reply is held before it goes out, giving your agents time to select Undo.The default is 5 seconds.
Additional considerations
- Update the password here after rotating it: If you change your mailbox password or revoke an app password, the connection stops working until you update it here. Otherwise the inbox is marked disconnected, see Troubleshooting email connection and delivery issues.
- Settings are per inbox: Nothing here is shared between inboxes. Each connected address has its own name, visibility, owner and undo window.
- Changing visibility can hide conversations from teammates: Narrowing visibility removes access for members who previously had it. Check who relies on the inbox before scoping it down.
